Meeting ended after 52 minutes with eight participants, five of them from Tumaini Health in Nairobi and three from our team. Transcript and smart notes are both available. The clinic group settled on moving all 22 sites to the new intake form from 1 October, asked for the old export to keep running until their audit closes in November, and never resolved who pays for the extra storage that creates.

About this agent

Google Meet records and transcribes the call, but it will not tell the six people who missed it what was decided. This agent reads the conference record, the smart notes, and the transcript, then posts notes to Slack in your structure and attaches the same write up to the customer's contact record. Where the transcript is garbled it quotes the garble instead of guessing, because a confident wrong note travels further than no note at all.

What people use it for

  • For everyone who missed it - Notes are in the channel before the room empties, so the people who could not join read what happened rather than asking someone to recap it later.
  • Decisions stop being relitigated - What was decided, by whom, and on which day sits in a searchable channel. The argument settled in June does not get reopened in September.
  • Customer records keep up - External meetings are filed against the contact in HubSpot, so account history outlives both the transcript retention window and the rep who moves on.
  • Broken transcript, honest notes - When speech to text mangles a figure or a surname, the line is quoted as it came out and flagged unclear. No invented number gets copied into a rollout plan.

Before you fork

Do we need Gemini smart notes switched on?

It helps, and it is not required. Where your Workspace edition generates smart notes the agent reads them beside the transcript, and where it does not the write up comes from transcript entries alone. Meeting transcription does have to be on, otherwise the conference record arrives with nothing to read.

Can any of this reach the customer?

No. The template wires Google Meet, HubSpot, and Slack, and nothing else. Without a mail tool the notes can only travel to your channel and your CRM, and calls between colleagues stop at the channel with no record written.

Will it flood our Slack channel?

It posts once per finished meeting, so a team holding twenty Meet calls a day gets twenty messages. Point it at a dedicated notes channel instead of a busy team one, and use the notes style variable to cap the length of each write up.
